A Business Operating System: one system to run the whole business.

In one paragraph

A Business Operating System is one place to run your business: clients, quotes, jobs, rosters, invoices, payments and a client portal. AI agents inside it do the admin, and people approve what matters. You own the code, and it is hosted in Australia. Some call it an all-in-one CRM. Built in Melbourne, working Australia-wide.

01The problem

Ten tools, five logins, and nobody sees the whole job.

  • Client data in five places

The CRM, the inbox, the quoting spreadsheet, the accounting file and someone's phone. None of them agree.

  • Per-seat fees for features you skip

You pay for a sales pipeline built for a software company, then work around it with spreadsheets.

  • Bolted on as a chat window

It can summarise a note. It cannot read the email, draft the quote and book the job.

02The solution

Everything the business runs on, in one place.

We build only the parts your work needs, all connected, so a quote becomes a job, a roster, an invoice and a payment without anyone retyping it.

  • Clients and leads
  • Quotes and jobs
  • Scheduling and rosters
  • Invoicing and payments
  • Documents
  • Client portal
  • Reports
  • Agents inside

03Agents at work

Agents do the admin. People decide.

Agents work on the same records the way a good coordinator would, and stop at every decision that belongs to a person.

A worked example from a system we run: one chauffeur booking, from email to review request. Rows light up as each step finishes.

Job · Airport transfer, 2 passengers

  1. SystemA booking request arrives as a plain message
  2. AgentReads it: pickup, drop-off, date, passengers, luggageAnything missing, like a flight number, is flagged.
  3. AgentDrafts the quote from your pricing rulesDistance from Google Maps, your rates applied.
  4. YouApprove the quote, add the flight numberOne screen. The agent never sends a price on its own.
  5. SystemClient pays by link. The booking is confirmed.
  6. AgentDriver gets the job. The client gets an SMS the day before.
  7. SystemA review request goes out after the ride.

05Build or buy

Sometimes HubSpot is the right answer. Here is how to tell.

  • Build · Your own Business Operating System

Your work does not look like a sales pipeline, and admin is the bottleneck

  • Buy · HubSpot or Salesforce

You sell a standard product and need it running this week

  • Today · Spreadsheets and inbox

You have a handful of jobs a week and a quiet inbox

08Questions

Business operating systems, answered.

What is a business operating system?

The one system a services business runs on: quotes, jobs, scheduling, invoices, payments, documents and a client portal, plus AI that reads, drafts and chases. Your team approves anything that goes out.

Is it the same as an all-in-one CRM?

Yes. It starts as your all-in-one CRM and also runs everything after the sale.

How much does a business operating system cost in Australia?

Every build gets a fixed price before work starts, sized to your business. You can start with one fix, such as quoting or bookings, or build the whole system. The Blueprint, a short paid mapping stage, ends with that fixed quote, and its fee comes off the build.

How is it different from HubSpot or Salesforce?

It is built around how your work actually moves, in code you own, instead of a sales pipeline you work around. Sometimes HubSpot is the right answer, and we will say so.

Where is our data stored?

In Australian data centres, in a database you own.

Who owns the code?

You do, from day one. It runs on your own accounts, under your name.

How long does it take?

The Blueprint maps your work in two to three weeks and ends with a fixed quote. The build then ships in short releases, so you use the first part early. A 35-store franchise network was live in about six weeks; a security company's current system went from first build to daily use in about ten.
