Every quote was bespoke, with rates that changed by day and time, and it changed again after booking. Each change had to flow into the roster and into what every guard was told. Off-the-shelf security software did not cover it.
One system: a website with more than thirty service pages, leads from Facebook and Instagram ads landing straight in it, quotes from rate templates, multi-site agreements, a smart roster, guard assignment emails with a page per shift, a client portal by email link, change requests, PDF documents and finance.
A lead arrives from the site or an ad. The system prices the shift from the company's own rates and drafts the quote. A person approves it. The roster, the guard pages and the client portal update from the same record.
Quotes, rosters and client questions run from one record. The company takes on new clients without rebuilding the paperwork each time.
Real code on open-source foundations, a database the client owns, email and PDF generation, hosted in Australian data centres.
