Eight questions, about three minutes. No email needed to see your result. Built in Melbourne, working Australia-wide.

## The questions

1. What kind of business is it? Freight and logistics · Food and franchise · Transport and chauffeur · Security and facilities · Accounting firms · Trades and home services · Property and real estate · Professional services · Cleaning and facilities · NDIS and home care · Allied health and clinics · Brokers and advisers · Education and training · Something else
2. How many people touch the admin each week? 1 · 2 to 5 · 6 to 15 · 16 or more
3. How many hours a week does the team spend on repetitive admin? Under 5 · 5 to 10 · 10 to 20 · More than 20
4. Which of these happen every week? Tick every one that does, or none if none do. We type the same details into more than one system · Someone writes the onboarding and chasing emails by hand · Status updates and payment reminders go out by hand · Meeting notes rarely become tasks with an owner · Records get updated by hand after every call · Every proposal starts from a blank page · Client reports are built by hand from our numbers · Follow-ups after calls go out late, or not at all · Advice waits on a senior person to start it · The weekly management report takes hours to pull together · The shared inbox takes hours to sort · Documents get checked line by line by a person · Staff ask each other the same questions all day · Nobody can find the file they need · Onboarding a new starter ties up a senior person
5. Where do new jobs or clients arrive first? Email, as free text · A web form · Phone calls and text messages · Documents and attachments · A mix of these
6. What have you tried so far? Nothing yet · ChatGPT, by hand · An off-the-shelf tool · An automation that did not stick
7. Who owns your systems today? We do · A platform we subscribe to · An agency · Not sure
8. Who would own the workflow after it is built? A named person on the team · Nobody yet

## How we calculate this

Your hours, the people involved and the number of weekly tasks set the score; the three use cases are the ones that match the pains you ticked. Ranges, never promises.

- Hours of repetitive admin a week: under 5 adds 0, 5 to 10 adds 8, 10 to 20 adds 15, more than 20 adds 20.
- People who touch the admin: 1 adds 0, 2 to 5 adds 10, 6 to 15 adds 20, 16 or more adds 25.
- Weekly tasks ticked: 3 each, up to 30.
- A named person to own the workflow: 15. Anything tried before: 5.
- Three answers leave the score alone: the kind of business names your result, where the work arrives is noted on it, and who owns your systems picks the next tool to try.

The three use cases come from the pains you tick, one each from Gone, Faster, Smaller where your ticks allow.
