# Agreements, intake and family updates, beside your care software.

Source: https://cruxlabs.com.au/industries/ndis-home-care

For NDIS support providers, support coordinators and home care providers. Service agreements as PDFs, a participant and family portal and text reminders, alongside ShiftCare, Brevity or Lumary, which keep the participant records, roster and claims. Online intake is next. We have not built for a provider yet; the same modules run live elsewhere. Built in Melbourne, working Australia-wide.

## Agreements in Word, families on the phone.

The admin we see in NDIS and home care providers. Plain statements, not quotes.

- Service agreements rebuilt in Word for every participant. Then emailed, signed, scanned and filed.
- Referrals arrive by email, phone and form. Some wait days for a reply.
- Families ring to ask what is happening. The coordinator answers the same questions all week.
- Plan reviews and renewals tracked in a spreadsheet. Found when the funding has already run out.

## From the first referral to the plan review, beside your care software.

Intake, the agreement, the family portal and every reminder sit beside your care software. The participant and plan details, rosters, shifts and claims stay in it.

1. **Referral**: From a form, an email or a call.
2. **Intake**: A form, passed to your care software.
3. **Agreement**: The funded supports, as a PDF to sign.
4. **Portal**: Participants and families log in by email link.
5. **Remind**: Signatures and documents chased by text.
6. **Review**: The plan review and renewal on a date.

### The rules your paperwork answers to

- **NDIS Practice Standards**: Auditors assess registered providers against them, including worker records and incident management. Source: https://www.ndiscommission.gov.au/rules-and-standards/ndis-practice-standards (checked 2026-10-06)
- **Social, Community, Home Care and Disability Services Industry Award 2010**: It covers home care and disability support work, so roster rates follow it. Source: https://www.fairwork.gov.au/employment-conditions/awards/awards-summary/ma000100-summary (checked 2026-10-06)

## No NDIS provider yet. The agreements, the portal and the reminders are live for other businesses.

PDF agreements from your templates and the client portal by email link run live for a security company. Automatic emails and SMS reminders run live for a chauffeur business, and the permanent record of who changed what for a 35-store franchise network.

- [A complete in-house system for a security company](https://cruxlabs.com.au/case-studies/security-operations-system) (PDF agreements, client portal by email link, Live): Quotes, rosters and client questions run from one record. The company takes on new clients without rebuilding the paperwork each time.
- [The chauffeur business we scaled](https://cruxlabs.com.au/case-studies/chauffeur-business-system) (Automatic emails, SMS reminders, Live): Close to $300K in revenue in under 10 months. We built the system, ran the ads and advised along the way.
- [A 35-store franchise network's Business Operating System](https://cruxlabs.com.au/case-studies/franchise-network-os) (Permanent record of who changed what, Live): Real stores, real invoices, one system across Melbourne, Canberra, Sydney and Adelaide. Live in about six weeks.

## The things people ask before they call.

**Does it lodge NDIS claims?**
No. Claims stay in your care software, built from the shifts it already holds. We build the agreements, intake and family portal that sit beside it.

**Do support workers need another app?**
No. Shifts, progress notes and timesheets stay in your care software and its app. What we build is for the office, participants and families.

**Does it handle the SCHADS award?**
Your care software and payroll do. The roster, award rates and pay stay there, and we do not run them. The agreements, portal and reminders we build sit beside them.

**Will it pass an NDIS audit?**
The audit is yours to pass. Agreements and intake forms are kept together, with a permanent record of who changed what. Participant, plan, shift and worker records stay in your care software.

**Is participant data kept in Australia?**
What we build does. The agreements, intake forms and family portal sit in Australian data centres, in a database you own. Your care software's hosting is set by its vendor.
