## The challenge

Every quote was bespoke, with rates that changed by day and time, and it changed again after booking. Each change had to flow into the roster and into what every guard was told. Off-the-shelf security software did not cover it.

## What we built

One system: a website with more than thirty service pages, leads from Facebook and Instagram ads landing straight in it, quotes from rate templates, multi-site agreements, a smart roster, a client portal by email link, change requests, PDF documents and finance.

## How the automation works

A lead arrives from the site or an ad. The system prices the shift from the company's own rates and drafts the quote. A person approves it. The roster and the client portal update from the same record.

## What changed

Quotes, rosters and client questions run from one record. The company takes on new clients without rebuilding the paperwork each time.

- **Live in 10 weeks**: from first build to daily use, current version. Measured: first day of building to first day of live use, from the project's own history, as of 18 April 2026.

## Stack

Real code on open-source foundations, a database the client owns, email and PDF generation, hosted in Australian data centres.
